Everything in one place

One tool where eight used to be

Odyssey brings the task tracker, chat app, docs, shared calendar, timesheet, leave tracker, mailbox and a live quiz for training days under a single login — one place your team already lives.

Why teams switch

The work and the conversation, in the same window

Every other setup scatters a task in one app, the discussion in another and the file in a third. Odyssey keeps them together — context never gets lost in a tab you forgot to open.

  • One task, many lists. Shared work appears wherever it belongs, always in sync.
  • Guests, safely. Invite clients or partners to exactly the lists and documents they need.
  • Rules do the routine part. Assign, tag, notify, move or call another system when a status, a field or a date says so.
  • Nothing lost. Deleted a space by mistake? It's in the Trash, one click from restored.

Four views, one list

Flip the same tasks between List, Board, Calendar and Timeline. Filter, sort and group, then save it as a view the team can reuse.

A drawer that holds it all

Description, subtasks, checklists, custom fields, attachments, comments and full activity — open any task and it's all there.

One task, many lists

Shared work appears wherever it belongs and stays in sync. Bulk-edit status, owner or dates across a whole selection.

Automations

Rules that do the routine part

Every list — or a whole space — can carry rules: when this happens, do that. A status change, a new task, a field edit, an assignment, a comment, or simply a date — due in three days, overdue by a week, stuck in Review for ten.

  • Twelve things a rule can do. Set progress, priority or a field; move status; add a tag; assign or set a manager; notify, comment, create a subtask, set a due date — or call a webhook.
  • Only if. Conditions on priority, progress, status, dates, assignee, tags or your own fields, and several actions in one rule.
  • Honest about itself. Every run is logged, a date rule shows what it would match today, and rules cannot chase each other in a loop.

A form for requests

A public link with the questions you choose. Partners and colleagues outside Odyssey send work in; each submission becomes a task in the list you name, answers already in the right fields.

Rules, not reminders

Let the list chase the deadline. Due-in, overdue and stuck-in-status rules run once a day in your time zone and fire the day it becomes true — once, not every hour.

Webhooks, signed

POST a task to any https address when a rule fires, with an HMAC signature the receiver can check. Registered by a platform admin, every call recorded with the answer it got.

See it with your own projects

Set up a space, drop in your tasks, and switch views to the one your team thinks in.

Never miss a date

Deadlines you can see coming

Every task with a due date lands on the calendar automatically — colour-coded by status, filtered to what you're working on, and honest about what's overdue.

  • Drag tasks to reschedule right on the calendar.
  • The critical path shows what actually can't slip.
  • Dependencies keep the plan honest when a date moves.

Plan the quarter in an afternoon

Lay out the work, wire the dependencies, and watch the critical path light up.

From message to task, once

Make a task from an email and it keeps the subject, the sender and — if you say so — the text. A colleague on that task sees a card with who wrote and what about. Not your mailbox.

Afterwards the message itself says what became of it: which task, in which list, who picked it up and when it is due.

Invitations you can act on

A meeting invitation arrives as a card with a date, not a paragraph to retype. Put it in the calendar, make a task about it, or neither. Adding it does not reply to the organiser.

Reply, forward, attach

Answer from the address it arrived at, with your signature already in the draft. Drag files straight onto the message. Read, starred and archived reach your real mail server, so every other client agrees.

Private by construction, not by policy

A mailbox connected to Odyssey belongs to the person who connected it. Not the workspace owner, not an administrator, not us. Nothing is copied until you open a folder, and a colleague sees a message only when you deliberately file that one onto a task — and only the part you choose.

Remote images are held back so a sender cannot learn you opened their mail; if you load them, Odyssey fetches them so they never see your address. Attachments stay on your mail server and are fetched when you click. Passwords never reach the browser.

Any IMAP mailbox

Gmail, iCloud, Fastmail, cPanel, your own server — with an app-specific password.

More than one

Up to twenty mailboxes, each separate, each yours.

Choose what is copied

Folder by folder. Stop one and what was copied is deleted; the server keeps its own.

Works with the rest

Tasks made from mail carry dates onto the timeline and the shared calendar like any other.

Stop pasting emails into tasks

Mail is an add-on — switched on per workspace, priced separately.

Financial data that stays need-to-know

Researchers see the project and their own tasks; budgets, person-months and Form C totals stay locked to people with financial access — enforced in the database, not just hidden in the interface.

  • Per-partner scope. Each beneficiary sees their own figures, never another partner's.
  • Timesheets → PM. Hours become person-months and flow straight into Form C.
  • Locked once reported. Approved timesheets and submitted statements can't be quietly changed.

The lobby

Everyone in, in seconds

The code and a QR code sit on the projector. A phone scans it, picks one of sixteen characters and is in — and while the room fills up, reactions float up the screen with their names on them.

  • Scan or type. The QR code opens the quiz straight on the phone; the six-letter code works from any keyboard, Greek layout included.
  • A character each. Chosen at the door, changeable until the start, and it stays with the player on the board and the podium.
  • Lock the room. When everyone expected is in, lock it — nobody new joins, and a phone that drops out still gets its seat back.

After every question

A board that moves

At the reveal the right answer lights up, a bar shows how the room split — and the leaderboard slides from where it stood to where it stands now. Who went up, who went down, who is trending, and who is on a run.

  • Arrows that mean something. ▲2 and ▼1 from the board as it was before the question — and none after the first, when everybody started level.
  • Trending and on fire. The biggest climber is called out by name; three right in a row earns a flame.
  • Every phone knows too. "Correct! +940 — you are 2nd of 14, up 3 places."

The end

A podium — and what the trainer needs next

The top three rise onto the podium under confetti. Then the host switches to what matters after a training day: how the session actually went, and what the room thought of it.

  • Download the podium. The top three as a picture, ready for a slide or a post — players can save it on their phones too.
  • Session summary. The share of right answers, the difficult questions answer by answer, who may need help and who did not finish.
  • Feedback from every phone. A rating, "did you learn something", "would you recommend it" and how it felt — shown on the projector when the host chooses.
  • Play again. One press opens a fresh room for the same quiz; players press New to join with the new code.

In the room or on a call

Music plays from the projector and follows the game. Presenting over Teams, Meet or Zoom? Share the tab with its sound — or players tap 🎵 to hear it on their phones.

Your picture behind it

Upload a background — a client's logo wall, the venue, the project's artwork — and it sits behind the projector and every phone, darkened so the text stays readable.

Fair on the clock

The server keeps the time, and each phone's clock starts when that phone is shown the question. Fast right answers score most.

Nothing leaks early

No phone is sent the right answer until the reveal, and the score shown mid-question never gives it away.

After the session

Every answer, in a spreadsheet

Download the results when the quiz ends: rank, score and how many each person got right, then question by question what they picked — Correct, Wrong or No answer — and the feedback each player gave. Opens straight in Excel, Greek names and all.

  • Your quiz is yours. A quiz, its sessions and its answers are seen only by the person who wrote it — not colleagues, not the workspace owner.
  • A seat that survives. A phone that locks or drops off the wifi rejoins where it was, instead of turning up twice.
  • Branded for guests. Every screen a visitor sees carries Odyssey and NovaMechanics — the only part of either they may ever meet.

User guide

How to use Odyssey

A quick tour of every part of the workspace — for new members finding their way around.

Getting started

Everything lives behind the icon rail on the left — each icon is a different part of the app. Switch workspaces at the top of the sidebar, press / to search anything, and click your avatar to set your status (Available, Busy, Do not disturb, Away) or change the theme. Odyssey is invitation only: an admin adds your email, then you sign in with a one-time code.

Spaces, folders & lists

Work is organised as Spaces (a team or project) → optional Folders → Lists (where tasks live). Use the + buttons in the sidebar to create them, and the ⋯ menu to rename, recolour, move, share or delete.

Working with tasks

Open any task to reveal the task drawer — description, assignees, status, dates, subtasks, checklists, custom fields, files, comments and activity. A task can live on several lists at once and stays in sync everywhere.

Views, filters & sorting

Flip a list between List, Board, Calendar and Timeline. Filter by status, assignee, priority, tag, due date or "overdue"; sort and group; then save it as a view. Select several tasks to change status, owner or dates in bulk.

Automations

Open a list → Configure → Automations. A rule says when (a status change, a new task, a field edit, an assignment, a comment, or a date — due in, overdue by, in a status for N days), optionally only if (priority, progress, status, due date, assignee, tag or a custom field), and then — one action or several: set progress, priority, a field or a due date; move status; add a tag; assign or set the manager; notify somebody; comment; create a subtask; call a webhook. Space rules apply to every list in the space. Every run is logged on the rule, and a date rule shows how many tasks it would match today. Webhooks are registered under Admin → Webhooks and can be switched off by any workspace admin.

Forms & task requests

Take work in from people who are not in Odyssey. Admin → Task requests sends somebody a one-time link to submit a task; Admin → Forms builds a standing public form (/f/your-form) with your own questions, mapped onto a list's custom fields. Each submission becomes a task in the list the form names — or in Task Form Inputs → Requests — with the sender's name written at the bottom. Pause a form and its link stops taking requests at once.

Chat

Direct and group messages with @-mentions, pasted files and screenshots, reactions, pinned and saved messages, and one-click calls. The Chat icon badges unread messages and clears when you read them.

Documents

Collaborative documents that update live as people type together, filed inside their space or project and shared at view, comment or edit level — right down to a single document.

Time, workload & leave

Log hours against tasks, see a heat-map of everyone's week, and request leave (full day, half-day or a late start). Approvers action requests in a click and balances update automatically.

EU grants (add-on)

For Horizon Europe projects: consortium, budgets, person-months, timesheets and Form C statements. Financial figures are visible only to people with financial access — researchers see the project without the money.

Live Quiz (add-on)

Open Quiz on the rail, write your questions (two to four answers, a time limit each), add a background picture if you like, and press Host. The room joins by scanning the QR code or typing the code at /q, picks a character, and can send reactions while it waits; Lock closes the room to newcomers. After each question the board shows who moved and who is trending. At the end: the podium (download it as a picture), a session summary — difficult questions, who may need help, who did not finish — and the room's feedback, then Play again or download every answer as a spreadsheet. Presenting over a call, share the tab with its sound, or players tap 🎵 to hear the music on their phones. A quiz and its results are seen only by the person who wrote it.

Trash & restore

Deleted spaces, lists, tasks and documents go to Trash, not oblivion — restore anything within the retention window, or clear it out.
